Built for PIPEDA and PHIPA

You stay the custodian. We handle your clients' information only to write your notes, never store recordings, and never train AI on it.

Is Twofold compliant with PIPEDA and PHIPA?

Yes. Under Ontario's PHIPA, Twofold acts as an electronic service provider to your practice: we use personal health information only to produce your documentation and never disclose it. Under PIPEDA we have a designated individual accountable for privacy and published privacy practices. Where a province requires it, we sign an information manager agreement, and we give practices the documentation they need for their own privacy impact assessment.

Are session recordings stored at any point?

No. Audio is processed to produce the transcript and note, then immediately deleted. No recording is written to disk at any point.

Is my clients' data used to train AI models?

No. Your audio, transcripts and notes are never used to train AI models, ours or anyone else's.

What happens if there's a privacy breach?

We notify you, the custodian, at the first reasonable opportunity, and report to the Office of the Privacy Commissioner of Canada where a breach of data we hold in our own right poses a real risk of significant harm.

Where is my data stored?

On Microsoft Azure and Google Cloud infrastructure in the United States. Where a provincial law requires you to assess that transfer, we provide the material for it.

Is client data encrypted?

Yes. Data is encrypted in transit with TLS 1.2+ and at rest with AES-256.

Who can access my clients' information?

Only authorized Twofold staff with a documented security or support need, under strict role-based access. Every access is logged and auditable.

Can I delete my data?

Yes. You can delete individual notes at any time, and you can ask us to delete all of your account data.

FAQ

FAQs

Twofold is an AI scribe, also called an ambient scribe or AI charting tool, built for Canadian mental health clinicians: registered psychotherapists, clinical counsellors, social workers, psychologists and psychiatrists. It listens to a session, or to a summary you dictate, and drafts a structured progress note in your own style in minutes.

What Canadian clinicians look for, and what Twofold offers:

  • Privacy: built to meet PIPEDA and provincial health privacy law, including Ontario's PHIPA.
  • No recordings kept: session audio is deleted once the note is generated.
  • No AI training: client data is never used to train AI models.
  • Your formats: SOAP, DAP, BIRP, progress notes or your own templates.
  • Your EMR: paste notes into Jane, Owl Practice or Practice Better.
  • Free to try: 7 days, no credit card.

Yes. Twofold is built to meet PIPEDA and provincial health privacy law, including Ontario's PHIPA. You remain the health information custodian and stay accountable to your clients.

  • Our role: we act as your information manager, electronic service provider or service provider, depending on your province, and use health information only to produce your documentation.
  • Accountability: our Security Official is the designated individual accountable for our compliance.
  • Agreements: where a province requires it, we sign an information manager agreement.
  • Privacy impact assessments: we give practices the documentation they need for their own assessment.
  • Breaches: we notify you, the custodian, at the first reasonable opportunity.

Read our Canadian privacy details

In January 2026 the Information and Privacy Commissioner of Ontario (IPC) published AI Scribes: Key Considerations for the Health Sector. For custodians, the key points are:

  • Privacy impact assessment: assess an AI scribe before you introduce it, and update the assessment when things change.
  • Humans in the loop: trained people review what the AI produces.
  • Data minimization: question whether full audio recordings or transcripts need to be kept.
  • Vendor safeguards: contracts should limit vendor access and cover retention, subcontractors and breach notification.
  • Client choice: clients who decline an AI scribe receive the same level of care.

Twofold supports each point: we provide documentation for your privacy impact assessment, every note is a draft you review, recordings are never stored, and we sign an information manager agreement where your province requires it.

Read the IPC's AI scribe guidance

In the United States. Twofold runs on Microsoft Azure and Google Cloud data centres in the US and does not offer Canadian hosting. Where a provincial law requires you to assess that transfer, we provide the material for it.

  • Encrypted in transit (TLS 1.2+) and at rest (AES-256).
  • Strict role-based access with audit logs.
  • Session audio is deleted once the note is generated, so recordings are never stored.

No. Audio is processed to produce the transcript and note, then deleted. No recording is written to disk at any point. Your finished notes stay in your account until you delete them.

No. Twofold never uses your audio, transcripts or notes to train AI models, ours or anyone else's. Your clients' information is used only to produce your documentation.

Tell clients before the session, explain it in plain language, and note their answer in the record. Ontario's IPC guidance also expects that clients who say no receive the same level of care.

A script you can adapt:

"With your permission, I use a secure AI scribe called Twofold to help me write my notes. It listens to our session and drafts a note that I then check and edit. The recording is deleted as soon as the note is written, and your information is never used to train AI. You can say no, or change your mind at any time, and it won't affect your care. Are you comfortable with me using it today?"

Your college's standards on consent, confidentiality and record-keeping apply to notes drafted with AI exactly as they do to notes you write yourself. For registered psychotherapists that means CRPO's Professional Practice Standards; social workers, psychologists and clinical counsellors have equivalent standards from their own provincial colleges. Some colleges have published dedicated guidance, such as the College of Physiotherapists of Ontario's 2025 guide to AI scribes.

In practice: tell clients you use an AI scribe, record their consent, and review every note before it goes into the file.

Yes. Twofold drafts, you decide. Every note is a draft you read, edit and approve before it goes into your client's record, which is the human review your college and the IPC expect. Twofold learns from your edits, so drafts need less correcting over time.

Yes. Copy the finished note from Twofold and paste it into Jane, Owl Practice, Practice Better or any EMR with a notes field. Twofold needs no integration or access to your EMR, and you can shape your templates to match the sections your EMR uses.

SOAP, DAP, BIRP, GIRP, PIRP, progress notes, intake and assessment notes, treatment plans, discharge summaries and client letters. You can also build your own templates, for example an update letter to a client's family doctor.

Twofold is free for 7 days, with no credit card. After that, your first month is about C$27 (US$19), then about C$98 a month (US$69), or about C$70 a month billed annually (US$49). You're billed in US dollars; the Canadian dollar amounts use the exchange rate on October 14, 2026, so your bank's conversion may differ slightly.

Yes. Use Twofold for virtual or in-person sessions, on your computer or your phone. If you'd rather not record, dictate or type a short summary after the session and Twofold writes the note from that.

Usually a minute or two after the session ends. Most clinicians then spend a few minutes reviewing the draft, instead of charting from scratch after hours.
